I agree to the meeting cancellation policy.Each year a number of our colleagues request refunds due to changes in their lives. We
understand that “stuff happens” and cancellations are necessary. For that reason, we offer a
very generous cancellation policy. However we do not offer refunds within 30 days of the start of
the Joint Seminar and we offer reduced refunds from 31 – 60 days.
Why? Because Hawaii hotels require that we prepay within 30 – 60 days (depends on the
vendor) and our payments are not refundable.
VETS aims to provide a safe and healthy meeting environment for all of our attendees.
Because we can’t foresee potential impacts during our meeting with respect to COVID-19 or
other infectious diseases, nor if any other major world events might effect our meeting and/or
our ability to travel, we strongly recommend everyone purchase Travel Insurance for this
trip.
At the meeting we will follow any Hawaiian guidelines to operate a safe meeting. If Hawaii is
open to visitors and deems it safe for travel to our meeting, the meeting will take place. “Fear of
COVID-19″ or other world events are not acceptable reasons to cancel without penalty and you
will be directed to make a claim with your insurance company if you choose to cancel. Please
read what is covered on the insurance policy.
As we see it, you have two options. You may choose to:
1. Accept your financial risk of cancellation. This means you: a) accept the financial risk
and the loss personally (you are self-insuring) and b) understand the limited or no refund time
windows described below.
2. You may choose to purchase travel insurance (on your own or sign up for the policy offered
during the registration process) that will pay you for the non-refundable portions of the trip
(amounts and reasons vary based on the kind of insurance you select). Because we have not
raised registration fees to create a fund to use should cancellations occur, the meeting is not
able to provide refunds once our costs become fixed (some at 60 days before the meeting,
some at 30 days before the meeting – see below).
The choice to secure insurance, or to accept the financial risk personally, is yours alone.
Our Policy:

Cancellation from 61 days (before August 26, 2024) or more before the first day of the
meeting: VETS will refund 100% registration fees and meeting related extras (for example:
syllabi, optional meetings), less a $150 administration fee.
Cancellation from 60 days to 31 days before the first day of the meeting (On or after August 27,
2024, and on or before September 25, 2024): VETS will refund 50% of the total registration fees
and extras as previously described..
Cancellation from 30 days before the first day of the meeting (On or after September 26, 2024):
we’re sorry but we’ve had to pay for you whether you attend or not, therefore no refunds are
possible.
Cancellation of Rooms, Cars, Airfare or other options: You’ll need to work with our travel
partner, Going Places Travel, about refunds for rooms, cars, airfare or other options brokered
through them (see their policy below).

I agree to the hotel cancellation policy.WE STRONGLY RECOMMEND TRAVEL INSURANCE TO PROTECT YOUR PURCHASE.
Cancellations to hotel rooms made any time after your initial deposit is received and on or
before August 26, 2024 will incur a $200.00 per person administrative and credit card
processing fee to cancel your room and all charges.
Hotel cancellations made from August 27, 2024 to September 25, 2024 will be charged $250.00
per person administrative and processing charge. Hotel room cancellations made on or after
September 26, 2024 will be charged full price for all room nights canceled and you will need to
file a claim with your travel insurance insurer for any refunds.
Any room reduction in your hotel reservation will incur a $50.00 per room night cancelation fee
to cover credit card processing.
Any cancellation fees will be deducted from your hotel deposit/payment and the balance due will
be refunded to your credit card or paid by company check within 30 days of your request. After
September 25, 2024, the group room rates cannot be guaranteed and all room additions may be
at a higher rate based on hotel availability
.
Please review all confirmation emails to ensure the accuracy of arrival and departure
dates. VETS and Going Places Travel cannot be responsible for errors on arrival and
departure dates and cancellation policies will apply.
TOUR CANCELLATION POLICY:
Cancellations to your booked tours presented by Going Places Travel and booked through the
VETS website may be canceled up to 14 days prior to the tour date for a $25.00 per person

administrative fee. To cancel your tour, please call Ting-Yi Shih at 510-382-1055. Cancellations
made within less than 14 days of the tour date will be charged the full price of the tour.
RESPONSIBILITY:
Going Places Travel and VETS do not control the personnel, equipment, or operations of any
air, water, or surface carrier, ship line, bus or limousine, or transportation company, hotel,
restaurant, or other person or entity furnishing services, products, or accommodations as part of
the trip. All of these suppliers are independent contractors. Going Places Travel and VETS shall
not be liable for any injury, damage, loss of life, expense, accident, delay, inconvenience, or
irregularity which may be caused or contributed to (1) by any wrongful, negligent, or
unauthorized act or omission on the part of any of these suppliers or any of their agents,
servants, employees, or independent contractors; (2) by any defect in or failure of any vehicle,
equipment, instrumentality, service, product, or accommodation which is owned, operated,
furnished, or otherwise used by this suppliers; (3) by any wrongful, negligent, or unauthorized
act or omission on the part of any person or entity not under the direct control of Going Places
Travel or VETS respectively; (4) act of war or terrorism; (5) by any other cause, condition or
event whatsoever beyond the direct control of Going Places Travel and VETS respectively.
Unless the term “guaranteed” is specifically stated in writing on your ticket, invoice, or
reservation itinerary, we do not guarantee any such suppliers’ rates, booking, or reservations.
Your retention of tickets, reservations, or booking after insurance shall constitute consent to the
above, and an agreement on your part to convey the contents hereof to your travel companions
or group members. Booking after insurance assumes complete and full responsibility, and
thereby releases VETS and Going Places Travel from any duty of checking and verifying any
and all passport, visa, vaccination, or other entry requirements of each destination and all safety
and security conditions of such destinations, during the length of the proposed travel.
